MYND RETREATS

Global Participation Agreement, Privacy Notice, and Release of Liability Effective Date: [Insert Date]

This legally binding agreement ("Agreement") is entered into between the individual participant (“Participant”, “You”) and SARIGIANNIDOU MARIA KYRIAKOS, operating under the brand name MYND Retreats (hereinafter, the “Company”), VAT No. 151397339, registered at Diakou Athanasiou 18, Thessaloniki, 54641, Greece.

By registering for, participating in, or attending any retreat, workshop, or program offered by the Company, you agree to the following terms and conditions:

1. COLLECTION & PROCESSING OF PERSONAL DATA

The Company collects and processes your personal data in accordance with the General Data Protection Regulation (GDPR), EU Directive 2016/679, and all applicable global privacy laws.

Types of Data Collected:

• Identity and contact information (e.g., full name, email, phone number, passport details)

• Health-related disclosures (e.g., allergies, medications, medical conditions)

• Financial or invoicing details (e.g., tax ID, billing information)

• Media content (e.g., photographs, video recordings, written testimonials)

Purpose of Data Use:

• To facilitate your participation in the retreat

• For safety, logistics, communication, and wellness considerations

• To comply with legal, tax, and regulatory obligations

• For marketing and promotional use, as outlined below

You have the right to access, correct, update, or request deletion of your personal data at any time by contacting us in writing. You may also withdraw consent for future data processing (excluding already published materials).

2. MEDIA RIGHTS & TESTIMONIAL CONSENT

As a condition of participation, you acknowledge and agree that:

The Company and its affiliates retain full, unrestricted, perpetual, worldwide, royalty-free rights to capture, use, reproduce, modify, publish, license, and distribute any and all content in which you appear or contribute during the retreat, including but not limited to:

• Photographs and video footage taken during the retreat

• Voice or audio recordings

• Written or oral testimonials, feedback, or messages you voluntarily provide during or after the retreat

This media may be used for promotional, advertising, educational, editorial, or commercial purposes, in any format or platform (digital, print, social media, website, broadcast, third-party publication), now known or later developed.

You waive all rights to compensation, royalties, inspection, or approval of such materials, and fully release the Company from any claims related to the use of such content.

This license is irrevocable, transferable, assignable, and valid in perpetuity.

3. MEDICAL DECLARATION & WAIVER OF LIABILITY

You acknowledge and voluntarily assume all risks associated with participation in MYND Retreats, which may include physical, emotional, mental, or environmental exposure through activities such as:

• Yoga, breathwork, meditation, sound healing, movement practices, nature-based excursions, and immersive experiences

You represent that:

• You are in good physical and mental health

• You have consulted a medical professional as needed before attending

• You will carry required medications and inform the Company of any serious condition

Release of Liability:

To the maximum extent permitted by law, you expressly and irrevocably waive and release the Company, its directors, employees, agents, facilitators, subcontractors, and affiliates from all liability for:

• Any loss, damage, illness, delay, emotional trauma, accident, injury, or death

• Any claims arising from your participation or use of services or facilities, whether in contract, tort (including negligence), strict liability, or otherwise

This includes but is not limited to risks arising from:

• Travel delays, weather conditions, natural disasters

• Political unrest, public health crises, or global pandemics

• Your own conduct or actions of third parties

4. INSURANCE

You are required to obtain adequate travel and health insurance covering:

• Trip cancellation or delay

• Emergency medical expenses

• Personal accident and liability

• Repatriation or evacuation

The Company is not responsible for any expenses arising from medical needs, accidents, or loss of belongings, and does not offer personal insurance coverage.

5. BOOKING TERMS & PAYMENT POLICY

Deposit:

A non-refundable, non-transferable deposit is required to confirm your booking. This deposit may not be credited to other events or retreats.

Balance Payment:

The remaining balance is due no later than 30 days before the retreat start date. Failure to pay on time will result in cancellation of your booking without refund.

The following payment schedule applies:

1. Deposit – 30% (Non-Refundable) at the time of the booking

A 30% non-refundable deposit is required at the time of booking. This deposit secures your place and is not transferable or refundable under any circumstances.

2. Remaining Payment – 70%

The remaining 70% balance due must be paid no later than 30 days before the retreat start date.

6. CANCELLATION & REFUND POLICY

Cancellations by the Client:

All cancellations must be made in writing via email. Refunds are issued according to the timeline below:
---> Deposit is Non Refundable in any case.
--->Refund Entitlement:
* Up to 30 days before the starting day of the retreat 100% refund (excluding deposit & bank fees)
* Less than 30 days from the starting day of the retreat No refund available

Cancellation by the Company:

The Company reserves the right to cancel any retreat due to force majeure, insufficient registrations, safety concerns, or other uncontrollable events. In such cases:

* No refund will be given for travel costs or external bookings

* You will be offered a credit or transfer to a future retreat, subject to availability. 

7. CONDUCT & RESPONSIBILITIES

Participants are expected to behave respectfully and responsibly at all times. Disruptive or inappropriate behavior may result in removal from the retreat without refund.

You are responsible for:

• Complying with all travel, visa, and health requirements

• Adhering to retreat schedules and safety guidelines

• Managing your personal property and medications

Failure to comply may result in additional costs at your expense.

8. GOVERNING LAW & DISPUTE RESOLUTION

This Agreement is governed by the laws of Greece. Any disputes shall be resolved exclusively in the courts of Thessaloniki, Greece.

9. FINAL ACKNOWLEDGMENT

By registering, you confirm that:

• You have read, understood, and agreed to this Agreement

• You voluntarily participate at your own risk

• You grant all media rights outlined above

• You waive all liability claims, including in the event of accident or death
